This Privacy Policy is designed to help you understand how we collect, use, and safeguard the information you provide to us and to assist you in making informed decisions when using our Site and Service.
For purposes of this Privacy Policy, "Site" refers to the Company's website, which can be accessed at dhakabrain.com. "Service" refers to the Company's hosted AI platform and any related services accessed via the Site or through authenticated API calls. The terms "we," "us," and "our" refer to the Company. "You" refers to you, as a user of our Site or our Service.
By accessing our Site or our Service, you accept our Privacy Policy and Terms of Service, and you consent to our collection, storage, use, and disclosure of your Personal and Non-Personal Information as described in this Privacy Policy.
I. Information We Collect
We collect "Non-Personal Information" and "Personal Information."
- Personal Information You Provide: To create an account, you provide us with Personal Information such as your name, email address, and organization name.
- Information from Social Logins: If you register using a third-party service like Google, Microsoft, or GitHub, we receive Personal Information from that service, such as your name and email address, as permitted by your privacy settings on that service.
- Content You Provide (Your Data): The core function of our Service is to process the data you ingest. This includes any files (documents, images, audio), text, or other content you upload to the platform, as well as the metadata and configuration you define around that content. We treat this information as strictly confidential and do not use it to train any general-purpose foundation models without your explicit permission.
- Information Collected via Technology: To improve the Service, our servers (and those of our third-party analytics providers) may collect Non-Personal Information like your IP address, browser type, and usage patterns through cookies and other tracking technologies.
II. How We Use and Share Information
Personal Information: In general, the Personal Information you provide to us is used to help us communicate with you and to provide access to the Service. We do not sell, trade, rent or otherwise share your Personal Information for marketing purposes without your consent.
Content You Provide (Your Data): We only use your ingested content to provide the Service to you, operate and improve the deterministic context engine you configure, and maintain the security and reliability of our platform. A core part of the Service involves your AI agents receiving relevant portions of your content as context (via our Context Engine) to be sent to third-party Large Language Model (LLM) providers (such as OpenAI, Google, Anthropic, or similar providers) and/or models we operate on your behalf to generate answers. The specific LLM provider and model used depends on your configuration and our available integrations. Where technically supported, we configure these providers so that your data is not used to train or improve their general-purpose models, and we contractually restrict such use where appropriate.
Third-Party Service Providers: We may share your Personal Information with third-party vendors and service providers that perform services for the Company. Our vendors include, for example:
- Stripe: For processing payments.
- Zoho: For handling support and operational emails.
- Analytics providers (such as Google Analytics or similar tools): To analyze website usage trends.
- Cloud and hosting providers (such as Database Mart or similar infrastructure providers): For hosting our application infrastructure.
Non-Personal Information: We use Non-Personal Information to help us improve the Service, monitor reliability and performance, and analyze usage trends in the aggregate.
International Data Transfers: The Company is based in the United States, and your information may be transferred to and processed in the United States and other countries where we or our service providers operate. These countries may have data protection laws that are different from the laws of your country. We implement robust administrative, technical, and physical security measures to protect your information. Your account is protected by your password (and, where enabled, additional authentication mechanisms), and we urge you to keep your credentials safe and not share them with others.
All data, including your Personal Information and "Content You Provide", is encrypted in transit using industry-standard SSL/TLS.
Data at rest is also encrypted. This includes your ingested files in our object storage (S3-compatible) and the processed data (text, vectors, metadata) within our databases. Any third-party API keys you provide are additionally stored in an encrypted format and are only decrypted in memory when required to perform an operation on your behalf.
IV. Children's Privacy
The Site and the Service are not directed to anyone under the age of 13. We do not knowingly collect information from anyone under the age of 13.
V. Changes to Our Privacy Policy
The Company reserves the right to change this policy at any time. We will notify you of significant changes by sending a notice to the primary email address specified in your account and/or by placing a prominent notice on our Site. Your continued use of the Site or Service after any such changes become effective constitutes your acceptance of the revised Privacy Policy.
